How it works
End-of-service gratuity accrues from the start of employment, calculates on basic salary rather than total package, and scales with length of service. Resignation and termination are treated differently, and unpaid leave affects the service period.
The detail belongs with your legal adviser, because the rules have changed over time and the specifics of a contract matter. What belongs here is the accounting consequence: the obligation exists and grows every month, whether or not anything records it.
Why the allowance structure decides the number
Because gratuity is calculated on basic salary, how a package is split between basic and allowances directly determines the liability. A package weighted heavily toward housing and transport allowances produces a smaller gratuity obligation than the same total weighted toward basic.
This is worth understanding rather than exploiting. A structure chosen for convenience, or copied from a template, quietly sets a long-term liability nobody was considering at the time — and changing it later for existing staff is a contractual conversation rather than a payroll edit.
Accrue monthly, not at exit
The practical fix is unglamorous: accrue the liability monthly so it appears in the accounts as it builds. That gives the owner a number they can see, gives the auditor something to test, and removes the unpleasant surprise of a settlement figure nobody had provided for.
