When ERP is the right answer, and when it is not

The signal is not company size. It is when the same information is being kept in two places — stock in a spreadsheet and in the accounts, customers in a CRM and in the invoicing system — and reconciling them has become somebody's job.

If your accounting software works and the friction is one process rather than many, fixing that process is cheaper and faster than an ERP programme. We will say so. An ERP implemented to solve a problem that did not need it is the most expensive way to buy disappointment.

What UAE compliance adds to the scope

Any ERP sold in the Emirates has to handle VAT, and most handle it adequately once configured. The differences show at the edges — designated zones, reverse charge on imports, out-of-scope exports — where a wrong tax code produces a return that does not reconcile.

Corporate tax raised the stakes on the chart of accounts, and the Wage Protection System puts a hard format requirement on payroll. These are scope items, not afterthoughts, and a proposal that does not mention them has not been priced properly.

How we scope it

We start with the processes that hurt, not with a module list. That produces a shorter first phase and a system people use, rather than a comprehensive rollout that is abandoned in favour of the spreadsheets it was meant to replace.

Then a written proposal: fixed scope, fixed price, named consultants and a delivery date. Parallel running for a period before cutover, because a configuration error found while the old system is still authoritative costs an afternoon, and the same error found afterwards costs a month.

What a proposal should tell you before you sign

ERP proposals are easy to compare on price and hard to compare on substance, which is how a cheaper quote turns into a more expensive project. A proposal worth accepting names the consultants who will do the work, states what is in scope and what is explicitly out, and commits to a date.

Ask what happens when scope changes, because it will. A change-request process agreed at the start is a conversation; the same discussion held mid-project without one is a dispute. Ask who owns your data and how you would extract it if the relationship ended — a straightforward answer says a good deal about the provider.

Ask, too, what support looks like after go-live and what it costs, since the implementation fee is the smaller number over five years. We put these in writing before work starts rather than leaving them to be discovered.
