Standardise, and stop buying one at a time

Most UAE SMEs buy laptops reactively — a machine at a time, whatever was available and discounted that week. Three years later the office runs eleven different models with five warranty end dates and no spare that matches anything.

Standardising on two or three models costs marginally more per unit and considerably less to support. Spares are interchangeable, images are consistent, and a failure means swapping a machine rather than sourcing one.

We recommend the specification your work actually needs, which usually means declining to sell the higher model to people who will never use it and insisting on it for the few who will.

Warranty, and what it means in this region

The warranty term is the least important part of the warranty. What matters is response: next business day or four hours, on-site or return to base, and whether parts are held in the region or shipped in.

We state these plainly at quotation because they differ enormously in both cost and consequence. A cheaper machine with a return-to-base warranty can mean a week without a laptop, which for a fee-earning employee costs more than the saving several times over.

We also register warranties to your company rather than to us. A business that cannot log its own warranty call because the serial numbers sit with a supplier has bought a dependency along with the hardware.

Invoicing, delivery and the free zone question

A hardware purchase has to work for your finance team as well as your IT. That means a proper tax invoice carrying your TRN so the input tax is recoverable, priced in dirhams, with serial numbers listed so the asset register can be maintained without transcription.

Delivery has its own wrinkle here. Goods moving to and from designated zones are not treated identically to mainland deliveries, and a business operating both a free zone and a mainland entity needs to be clear which one is buying — because the invoice, the VAT treatment and sometimes the movement of the goods all follow that decision.

It is a small thing to get right at the order stage and an irritating one to correct afterwards.

A box on a desk is not a working laptop. Somebody has to set it up, join it to your systems, install what the person needs, move their files and make sure the previous machine is wiped before it leaves the building.

We do that as part of supply — imaged to your standard build, enrolled for management so a lost device can be wiped remotely, and delivered ready to use. The old machine is collected and securely erased, with confirmation.

The last part matters more than it sounds. Retired laptops sold or given away with data still on them are a common and entirely avoidable disclosure, and a certificate of erasure is a cheap thing to insist on.
